Electronic Mail (E-Mail)

When used appropriately, electronic mail (E-mail) is a useful tool for enhancing the District’s educational and office environments. The District will take reasonable actions to ensure the appropriate use of E-mail, and other information sharing systems.

The District may provide E-mail resources to staff, the Board of Education, and students on an authorized basis. This school district reserves the right to monitor all Internet activity including transmission and receipt of E-mail. Use of E-mail is limited to educational purposes.

All users are to be accountable for their conduct as it relates to the use of the E-mail system. The District does not accept responsibility for information shared or opinions expressed by individuals or groups using its E-mail system. The District will restrict E-mail privileges of any user whose conduct is not consistent with this Policy and any accompanying Administrative Regulation or rule.

E-mail may not be used for solicitation for religious, political, non-school related charitable, non-school related social, or personal purposes.

The District does not guarantee the privacy of any transmitted or stored E-mail messages on District provided local or wide area networks. The District retains the right to monitor, intercept, print, and disclose any message associated with its mail systems. Any misuse of electronic mail systems will be subject to disciplinary action.

Retention Process (4510.8-R)

The district will maintain a two year retention process for e-mail. Any communication over two years will automatically be purged from the system.
